What is a Sub-Code in Contracts?

The sub-code field in Contracts is an optional numeric field. This field is always displayed to the right of the Contract Code field. Its purpose is to help you easily differentiate between identical contracts for different date ranges.

For example, if there is a monthly contract with a customer, and the Contract Code is CM100, then the sub-code for the first month is 0001 (CM100.0001), the sub-code for the second month is 0002 (CM100.0002), etc.

When copying contracts you can assign a sub-code value yourself, or keep the system default value for the sub-code.

Also, when using the ‘Batch Copy of Contracts’ wizard to copy many contracts at once to the next term, the system automatically assigns the consecutive sub-code value for each contract.

Can we adjust the code format so that there are no leading zeros? For example, we would want it to be CM100.2 instead of CM100.0002.

Hi,

Thanks for posting this.
The leading zeros placed in the sub-code is merely placed there so that the contracts will be displayed in their correct order in the contract list. Wherein if the subcode did not have the zeros then the 70th, 71st, and 72nd contracts in the code pattern would be displayed right under the 7th contract, by default.

Let us know if this helps.

We would like to use the sub-code as a month identifier - 01, 02, 03, ...11, 12. Is it possible to change the sub-code so that it is only 2 digits instead of 4?

Hi,

Thanks for posting this.
The account subcode was designed to have a single restricting parameter which limits a contract code to a number between 1 and 999.
Thanks for sending in this great feedback. I've marked this as a feature request, and attached your comments to it, as well as your vote. Our development team and product manager will evaluate the implementation possibilities, as soon as possible. For now, we’ve placed it on our list.

I am not sure that you answered my question. Are we able to customize/modify this so that we only see two digits instead of four?

Hi,

Sorry about that. To specifically answer your question, the system does not allow customization of the subcode field. This means that when adding a number in the subcode field, the number will be displayed in 4 digit format, and that letters cannot be used.

Let us know if you have anymore questions on this topic.
